Stocktaking software for pubs
Most pub stock takes are one person holding a bottle up to the light and writing down a tenth. WeighIt replaces that guess with a weight, so the count no longer depends on who did it.
What pub stocktaking software should do
A pub stock take has one job: tell you how much of each product is behind the bar right now, so you can compare it with what the till says was sold. If the count is a guess, the comparison is a guess, and so is every decision that follows from it.
Good stocktaking software for a pub does three things. It turns a bottle into a number that two different people would agree on. It keeps that number somewhere safer than a clipboard. And it lines the counted stock up against sales, so the difference stands out.
WeighIt does the first part with a Bluetooth scale. You put an open bottle on the scale, the app works out how much liquid is left and how many tots that is, and the result goes straight into your stock take.
Why manual pub stock takes drift
Counting by eye is fast and feels fine, until you have to explain a variance.
- Estimating to the nearest tenth of a bottle adds up. Across a full spirits range, small rounding errors become a number large enough to hide a real loss.
- Different people read the same bottle differently. Part of the variance you see is the counter, not the bar.
- Long counts get done less often. The longer between stock takes, the harder it is to say which week or which shift a loss came from.
- A guess cannot separate pour errors, over-pouring, breakage and theft. They all arrive as one unexplained gap.
Weighing does not remove loss. It removes the doubt about the count, so what is left is a real gap you can go and chase.
A pub stock take with WeighIt
The same three steps for a pub, a bar or a club.
Pair the scale
Connect the Bluetooth scale to the WeighIt app on your phone or tablet. We load your product list for you during setup.
Weigh open bottles
Scan the barcode and put the bottle on the scale. The app takes off the empty bottle weight, allows for the spirit's density and shows the tots left.
Compare with sales
Counted stock is set against what your POS says was sold. The variance report shows where the stock and the sales do not agree.
What you get after a count
Managers read the results in the cloud dashboard and can export reports for accounting and review.
Tots and value per product
Remaining tots for each product and what that stock is worth, instead of a tick in a column.
Expected against actual
What the sales say should be left, next to what the scale says is left, product by product.
Usage by shift
Usage tracked by shift, so a pattern points at a time and a team rather than at the whole bar.
Pubs, bars, clubs and restaurant bars
The method does not change with the type of venue. A pub, a nightclub, a cocktail bar, a hotel bar and a restaurant with a spirits shelf all need the same thing: a trustworthy count of open bottles.
What differs is how often you count and how many sites report to one person. For a single pub, it is a faster and more consistent stock take. For a group, the same counts roll up so an area manager can compare venues. Multi-site pricing is on request.
WeighIt counts stock. It does not replace your till or your POS. It sits beside them and compares the two.

Questions about stocktaking software for pubs
Is WeighIt only for pubs?
No. It is built for pubs, bars, clubs, restaurants and hotel bars: anywhere that counts open bottles of spirits and wants the count to be repeatable.
Does it replace our POS?
No. WeighIt counts the physical stock and your POS records what was sold. The variance report compares the two, and integrations are added around each client's POS.
What do we need to buy?
Nothing separate for the scale. A compatible Bluetooth scale is included and couriered to your site as part of the setup. You need a phone or tablet to run the app.
How long does it take to get started?
Most venues are up and running within a day of receiving their scale. We set everything up first and load your products from your spreadsheet, and step-by-step guides and video tutorials take your team through the first stock take.
Are we locked into a contract?
No. The setup is a once-off and the variance programme runs month to month. You can cancel at any time.
How much does pub stocktaking with WeighIt cost?
The once-off setup is R7,500 per site, then R4,000 per site per month for the variance programme. Multi-site groups can ask for bundled pricing.
